There are over 30 million meetings per day with most of them being ineffective due to attendees going off on a tangent, no accountability for agenda items, going over time with specific topics and the list can go on and on. The 360 Meeting Management Agenda System will help make your meetings more effective and efficient by doing the following:
- Create Meeting Groups that are automatically added when creating routine meeting
- Automatically sends email and soon text message notifications of Upcoming Meetings
- Automatically sends Meeting Agenda Item Leaders their assignments in the upcoming Meeting
- Creates accountability by allowing you to assign each Agenda Topic a responsible person to facilitate that topic
- Each Agenda Item is given a time frame (ie 10 min) which starts counting down when that agenda item is started.
- In addition to the countdown, there is a color notification which allows everyone to see if you’re still within the proper time frame notated for that agenda item. When you’re within 2 minutes of the time being up, the color will change to yellow giving the participants a 2 minute warning. When the 2 minute time is up, the color turns to red to let the participants know that you are over time for that topic time frame. This helps to keep attendees engaged, focused on completing that topic on time and eliminate participants from going off on tangents which may cause the meeting to run over time.
- Each Agenda Item is also given an importance designation (A - Very Important, B - Moderate Importance & C - Minimal Importance). This helps in meeting priority; so that if the meeting needs to be concluded, the topics with high-priority can be moved up for discussion.
- Within the Meeting Agenda Item creation, the Agenda Item Leader is able to upload PDFs and/or pictures as well as put individual notes within that topic. The participants only need to click that topic on the agenda to see that communication. The meeting facilitator is also able to add notes within each agenda item.
We have many other features that we are working on as well; but we want to get this app out as soon as possible because we know that it will be a great benefit to those who are meetings or planning meetings on a regular basis. Our time is valuable and this will help to make sure our meetings are far more effective as well as efficient.
